When a selfie search returns nothing, six causes are worth ruling out, in order. Three of them can be fixed while the guest is still standing in front of you. The other three are handled by hand now and in the photographer brief next time. The order below is deliberate: whether the photos have finished processing, whether the selfie itself is usable, and whether the event photos show that guest's face clearly enough to compare.

Cause one: the photos are not searchable yet
Start by ruling out the causes that have nothing to do with matching. Photos become searchable only once each face in them has been analysed, and that analysis runs after the upload finishes. A photographer handing over a full card at the end of a set adds several hundred images at once, and they queue behind everything already waiting. A guest can be looking at a thumbnail of themselves in the grid while the search still reports nothing.
Three quieter states produce the same silence. The album may still be unpublished, its visibility may be set to private, or the gallery may have passed its expiry date, which is 30 days on the free plan. Each of those returns an empty result with no error message, so nothing on screen distinguishes it from a failed match.
The fix is procedural. Compare the gallery's photo count against what the photographer says they uploaded, confirm the album is published and public, and check the gallery is inside its expiry window. Then take a contact detail so the next move belongs to you, and send the photos across once processing has finished. A failed search becomes a delivery.
Give the guest a time. "Try again in about twenty minutes" ends the conversation. "It should work" leaves them standing there.

Cause two: the selfie is the weak link
A search works from a private mathematical signature of the face in the selfie, compared against signatures built the same way from the faces in the event photos. If the reference signature is weak, every comparison downstream inherits the weakness. The mechanics are covered in more depth in how AI photo matching works.
Three things degrade a reference selfie: too little light, a low camera angle that foreshortens the face, and a second person in frame. The second person is the one that costs most, because nothing on screen tells the guest which of the two faces was taken as the reference.
The on-site fix takes about twenty seconds. Move to flat indirect light, hold the phone at eye level, one face only, both eyes open. Ask them to switch off beauty filters as well. Slimming and smoothing presets reshape the jaw and nose, which is precisely the geometry the comparison depends on.
Cause three: sunglasses, caps and face coverings
The eye region carries a large share of what face matching relies on, so dark sunglasses remove the most informative part of the face and a cap brim adds a hard shadow across the rest of it. At outdoor summer events the cause compounds. A guest who puts sunglasses on at arrival and keeps them on until sunset may appear in no clean frame all day, which leaves a bare-faced selfie with nothing in the gallery to match against.
One remedy is worth trying before you escalate. Have the guest run the search twice, once bare-faced and once wearing the same sunglasses and cap they wore all day. It costs about fifteen seconds, and it gives the comparison a second reference built under the same conditions as the frames in the gallery.
Some coverings will not recover at all, and it is better to say so quickly. Full face paint at a festival, a hard hat and visor at a site opening, a niqab, a runner in wraparound shades under a peaked cap: these need a different route to the same photos. Name or phone lookup at the front desk, a personal album link issued at registration, or a bib number where the event has one, as described in race photo sharing.
Cause four: hard backlight and midday sun
Two lighting situations take the face out of the frame altogether. Overhead sun between roughly 11:00 and 15:00 drops the eye sockets into deep shadow, and a sunset ceremony with the sun behind the guests turns faces into silhouettes. A silhouette contains no face to compare, so as far as the search is concerned the photo is of nobody at all.
The guest can do nothing about this at the moment it happens, which leaves front-desk staff with no on-the-spot fix to offer. The honest answer is to browse the time window when they were present, send those frames across by hand, and then fix the cause upstream.

Cause five: side-on and back-of-head crowd frames
Dancefloor wides, panels shot from the back of the room, table rounds photographed over a shoulder: these fill a gallery quickly and contribute very little to search. Once a head is turned past about a three-quarter angle, too little of the face is visible to compare with confidence, and a system tuned to avoid wrong matches will decline the comparison.
That trade-off is deliberate and worth explaining to a sceptical client. Loosening the threshold to catch profiles would start showing guests photographs of other people, which is a far more serious failure at a corporate awards night or a wedding than an empty result.
The fix is coverage, not configuration. Ask for deliberate front-facing frames at the registration wall, the step-and-repeat, the award handshake and at eye level around the tables. A single clean frontal frame at the entrance puts one full-face reference into the gallery, which is the minimum the comparison needs, and it is captured before anyone has put their sunglasses on.
If a guest is visibly in a photo the search missed, open the frame and look at the head angle. Send it across by hand and log which frame it was, because the pattern tells you what to change in the brief.
Cause six: nobody photographed the guest
No software fixes an absence. A guest who arrived at 19:40 for a photographer booked from 17:00 to 19:30, or who spent the evening at a side table and stepped onto the terrace during the group shots, has no photos to find. The search is working perfectly and reporting the truth.
Publish the coverage window somewhere the front desk can see it, so staff can answer with a fact. "Our photographer covered 17:00 to 19:30, so there may be nothing from later in the evening" is a complete answer: it gives a reason and a boundary.
Two mitigations reduce how often this happens. Ask the photographer for a sweep pass in the final thirty minutes that deliberately covers side tables, the bar and the terrace. And open guest photo uploads so attendees' own photos join the same searchable set, which is the only way a guest outside the photographer's window ends up in the gallery at all.
Always give the gallery a route that cannot return zero
A shared cloud folder or a WhatsApp album does one thing better than face matching: it never returns nothing, because the guest can always scroll. The cost is the scrolling itself. Hunting a handful of your own frames in a gallery of several hundred is a visual search with no index, which is the whole reason per-guest delivery exists.
So selfie search belongs on top of a browsable grid. Every event wants at least three routes to the same photos: search by selfie, look up by name or phone at the front desk, and browse by album or time window. A personal album link issued at registration is a fourth, and the most robust of the four, since it never depends on a face at all.
