The Challenge

Qatar Science and Technology Park (QSTP) hosts an annual innovation summit that spans three days and attracts 2,000 delegates from government, academia, and the private sector across the Gulf region. The programme includes keynote addresses, panel discussions, startup pitch sessions, exhibition halls, and networking receptions — each generating a high volume of professional photography.

The multi-day format created a unique challenge: delegates wanted their photos from Day 1 delivered promptly, not bundled into a single gallery dump days after the event concluded. Previous attempts at post-event photo sharing resulted in minimal engagement — by the time a gallery link arrived three days after the summit, delegates had moved on and the content felt stale.

QSTP's communications team needed a system that could handle continuous photo ingestion across three days, maintain accurate matching as the delegate pool grew, and deliver photos in near real-time so that delegates could share content on social media while the event was still generating buzz.

The Solution

Eventiere was configured for continuous live delivery across all three summit days. Delegates registered once on Day 1 through QR codes placed at registration desks and displayed on screens throughout the venue. A single selfie captured during badge collection was sufficient for the entire event — no re-registration needed on subsequent days.

A team of twelve photographers rotated across sessions, uploading images in real time via the Eventiere companion app over the venue's dedicated Wi-Fi network. As each batch arrived, the system processed faces, matched them against the growing delegate database, and pushed notifications to matched delegates via WhatsApp. A delegate photographed during a morning keynote would typically see that photo in their gallery before the coffee break.

The live delivery model meant galleries grew organically over the three days. Delegates received periodic update notifications — never more than twice per day — alerting them to new photos in their gallery. Each notification included a count of new photos and a direct link. The system handled the complexity of delegates appearing across multiple days, sessions, and venues without creating duplicate profiles or splitting galleries.

The Results

Over the three-day summit, more than 25,000 photos were processed and matched to 2,000 delegates with continuous live delivery. The average time from a photographer capturing an image to it appearing in the relevant delegate's gallery was under 3 minutes, including upload, face detection, matching, and notification delivery.

Social media engagement was the standout metric. LinkedIn posts mentioning the summit increased by 7x compared to the previous year, with delegates sharing professional event photos throughout each day rather than waiting until the event concluded. The QSTP communications team tracked over 1,800 social media posts containing event photos during the three-day window — organic reach they estimated would have cost over $45,000 in equivalent paid promotion.

Delegate satisfaction surveys showed 94% rated the photo delivery experience as excellent. The continuous delivery format also had an unexpected benefit: delegates who attended only Day 1 received their complete gallery by evening, rather than waiting for the full event to conclude. QSTP has since committed to using Eventiere for all major events, including quarterly innovation showcases and visiting delegation programmes.
