EY's Middle East leadership summit brings together 800 senior partners and directors from across 14 countries for a two-day programme of keynotes, workshops, and networking sessions. Historically, the internal communications team spent three to five days after the event fielding hundreds of individual photo requests, manually searching through photographer galleries, and distributing images via email threads that frequently hit attachment limits.
The event team faced three core requirements: photos needed to reach every attendee without anyone having to ask, the process had to respect strict data privacy policies aligned with EY's global compliance standards, and branded delivery was essential to maintain the firm's visual identity throughout the guest experience.
With multiple concurrent sessions, varied lighting conditions, and guests moving between venues across a single property, manual photo sorting was no longer feasible at this scale.
Eventiere was deployed across the entire summit venue, integrating directly with the team of eight photographers covering the event. As photographers uploaded images throughout the day, Eventiere's AI processed each photo in real time, detecting and indexing faces for high-accuracy facial recognition.
Guests registered via a branded check-in page on arrival, capturing a single selfie for face matching. No app download was required. Within seconds of a photographer uploading a batch, each guest's personal gallery was updated with only the photos featuring them, accessible through a secure, branded link delivered via WhatsApp and email.
For EY's compliance requirements, all facial data was processed in isolated compute instances and automatically purged 48 hours after the event. No biometric data was retained, and every guest received a confirmation of data deletion post-event.

Within 90 minutes of the final session concluding, every one of the 800 attendees had received a personalised WhatsApp message linking to their individual photo gallery. The total number of manual photo requests received by the EY events team was zero — a first in the summit's history.
Guest satisfaction surveys showed 98% rated the photo delivery experience as excellent. The internal comms team estimated they saved approximately 40 person-hours of post-event work that would have been spent on manual photo sorting and distribution. Social media sharing from attendees increased by 3x compared to the previous year's summit, driven by the ease of accessing and downloading high-resolution images.
